As part of the Office of the Registrar鈥檚 ongoing efforts to enhance the efficiency, consistency, and transparency of transfer credit evaluation, we are preparing to begin routing transfer course equivalency review requests to academic departments for evaluation.
In the coming days, departments will begin receiving requests through a new automated process designed to:
Ensure requests are routed to the appropriate academic reviewers
Provide supporting materials to assist with evaluation decisions
Improve communication with students regarding transfer credit outcomes
Reduce processing time and increase consistency across departments
These requests will be directed to your department鈥檚 designated Transfer Course Equivalency
Evaluator(s). If you have been identified as a reviewer, you will receive notifications
when a course requires departmental review.
With the New Process:
- Requests will include course information and supporting documentation.
- You will have the ability to review and determine equivalency outcomes.
- Decisions will be recorded and communicated through the system.

Transfer Credit Evaluation Workflow Overview
The ProcessMaker Transfer Credit workflow provides a structured process for reviewing,
evaluating, and articulating transfer coursework.
Workflow Steps
- Transcript Submission
Student transcripts are submitted for evaluation. - Transcript Processing
Course information, grades, and credit hours are extracted and prepared for review. - Initial Review
Information is reviewed for completeness and accuracy. - Course Matching & Evaluation

Approved transfer credits are articulated and posted to the student's academic record. - Notification & Documentation
Decisions are recorded, maintained, and available for future reference and audit purposes.

When a request is assigned to you, you will receive:
- Course title and number from the sending institution.
- Course description and supporting documentation (if available).
- Requested or suggested TTU course equivalency.
鉁 Your Responsibilities
Please review each request and determine if the course is equivalent to a TTU course.
Indicate one of the following:
鉁 Direct Equivalency (e.g., ENGL 1010)
鉁 Elective Credit (e.g., ENGL Elective)
鉁 No Transfer Credit (only for non-accredited sources such as Sophia or Study.com)

- Use catalog descriptions, syllabi, and learning outcomes.
- Focus on content alignment, not course title alone.
- When uncertain, select elective credit rather than denying credit.
Claiming Requests and Departmental Coverage
Once a review request has been claimed, it becomes assigned exclusively to that reviewer. Other departmental reviewers will no longer be able to access or complete the request.
To ensure uninterrupted processing of transfer credit evaluations:
- Maintain adequate reviewer coverage within your department.
- Ensure at least one designated reviewer actively monitors ProcessMaker requests throughout the week.
- Arrange coverage during vacations, conferences, leave periods, and other absences.
- If you anticipate being unavailable for an extended period, please coordinate with another designated reviewer to monitor and complete requests during your absence.
铃 Timing Expectations
Please complete all course reviews within three business days. Timely evaluations help us provide prospective and current transfer students with prompt decisions and support an efficient transfer credit process.
馃挛 If You Are Unable to Review
Notify your department chair or backup reviewer. Contact the Registrar if reassignment
is needed.
Registrar's Office and Departmental Responsibilities
The Registrar's Office will continue to review and articulate transfer coursework

be awarded based on current articulation rules.
Courses that:
- Do not have an established equivalency,
- Require academic or disciplinary expertise, or
- Need additional departmental review will be routed through ProcessMaker to designated departmental reviewers for final determination.

This will significantly reduce processing time, improve consistency in evaluations, and enhance service to students and academic departments alike.
Additionally, ProcessMaker supports our long-term goal of reducing the need to award elective credit when an equivalency has not yet been established. Instead, courses can be routed directly to the appropriate academic department for review, helping us build a more comprehensive and accurate equivalency database over time.
